Event Organization Guidelines, Terms, and Conditions

By organizing or participating in an event on behalf of GIVE BACK HAITI, all organizers, sponsors, volunteers, and participants agree to comply with the following guidelines, terms, and conditions:

1. Mission Alignment

All events must support the mission and objectives of GIVE BACK HAITI, including: 

Promoting educational development in Haiti 

Supporting Haitian veterans 

Promoting sustainable development through active participation

Encouraging transparency, accountability, and positive community engagement 

2. Prior Approval Requirement

All fundraising or promotional events using the GIVE BACK HAITI name, logo, or branding must receive prior written approval from the Executive Administration. 

Organizers must submit an official event proposal describing: 

Event purpose 

Date and location 

Estimated budget 

Fundraising objectives 

Sponsorship plans 

Expected attendance 

3. Use of Name and Logo

The GIVE BACK HAITI name, logo, slogan, and promotional materials may only be used for approved activities. 

Unauthorized use of the organization’s identity is prohibited. 

4. Financial Transparency

Organizers must maintain accurate financial records of all revenues and expenses. 

A financial report, including receipts and supporting documents, may be required within a specified period after the event. 

Funds collected on behalf of GIVE BACK HAITI must be submitted promptly through authorized channels. 

5. Compliance with Laws

Organizers are responsible for complying with all applicable local, state, federal, and international laws, including: 

Business permits 

Public safety regulations 

Tax reporting requirements 

Venue regulations 

Insurance requirements where applicable 

6. Ethical Conduct

Events must promote professionalism, respect, inclusion, and integrity. 

Discrimination, harassment, violence, hate speech, or illegal activities will not be tolerated. 

7. Independent Responsibility

Event organizers act as independent volunteers or partners and are responsible for: 

Venue arrangements 

Vendor agreements 

Event security 

Insurance coverage 

Financial obligations related to the event 

8. Donations and Fundraising

All monetary donations and membership contributions are processed securely through the official fundraising website. Donations collected must clearly indicate whether they are: 

Sponsorship contributions 

Product or ticket sales 

Donors must not be misled regarding how funds will be used. 

9. Media and Publicity

GIVE BACK HAITI reserves the right to approve official promotional materials related to events conducted under its name. 

Photos, videos, and recordings from events may be used by GIVE BACK HAITI for promotional and reporting purposes. 

10. Cancellation or Revocation

GIVE BACK HAITI reserves the right to deny, suspend, or revoke authorization for any event that: 

Violates these guidelines 

Misrepresents the organization 

Creates reputational or legal risks 

Fails to comply with financial accountability standards 

11. Limitation of Liability

GIVE BACK HAITI shall not be held responsible for: 

Personal injury 

Property damage 

Financial loss 

Contractual disputes 

Actions of third parties connected to independently organized events 

12. Acceptance of Terms

By submitting an event request form or organizing an event under GIVE BACK HAITI, participants acknowledge that they have read, understood, and agreed to comply with these guidelines, terms, and conditions.

Additional Policies and Operational Guidelines
GIVE BACK HAITI

1. Conflict-of-Interest Policy

The purpose of this policy is to protect the integrity, transparency, and credibility of GIVE BACK HAITI and ensure that all decisions are made in the best interest of the organization and its mission.

Policy Guidelines

  • Board members, officers, volunteers, organizers, sponsors, and contractors must avoid situations where personal, financial, or professional interests conflict with the interests of GIVE BACK HAITI. 
  • Any individual involved in decision-making must disclose any actual or potential conflict of interest before participating in discussions or voting. 
  • Individuals with a conflict of interest may be required to abstain from voting or participating in related decisions. 
  • No person may use their position within GIVE BACK HAITI for personal financial gain or unfair advantage. 
  • Transactions involving relatives, family members, or affiliated businesses must be fully disclosed and approved by the Executive Administration or Board of Directors. 

Examples of Conflicts

  • Awarding contracts to family-owned businesses without disclosure 
  • Personally, benefiting from fundraising proceeds 
  • Using confidential donor information for personal purposes 
  • Accepting inappropriate gifts or compensation from vendors or sponsors 

Enforcement

Failure to disclose conflicts of interest may result in disciplinary action, suspension, or removal from participation in GIVE BACK HAITI activities.

2. Refund and Cancellation Policy for Ticketed Events

Event Cancellation by GIVE BACK HAITI

  • If an event is canceled by GIVE BACK HAITI, ticket holders may: 
    • Receive a full refund, or 
    • Elect to convert the payment into a charitable donation 

Event Postponement

  • If an event is postponed, tickets will remain valid for the rescheduled date. 
  • Participants unable to attend the new date may request a refund within the specified refund period. 

Participant Cancellation

  • Refund requests made by attendees must be submitted in writing. 
  • Refund eligibility may depend on the timing of the cancellation: 
    • 30+ days before event: Full refund minus processing fees 
    • 15–29 days before event: 50% refund 
    • Less than 14 days before event: Non-refundable 

Non-Refundable Fees

  • Administrative fees 
  • Online processing fees 
  • Donation portions of ticket purchases 

Force Majeure

GIVE BACK HAITI shall not be responsible for cancellations caused by:

  • Natural disasters 
  • Government restrictions 
  • Political instability 
  • Public health emergencies 
  • Acts beyond organizational control 

3. Vendor and Sponsorship Rules

Vendor Requirements

All vendors participating in GIVE BACK HAITI events must:

  • Operate legally and professionally 
  • Obtain all required licenses and permits 
  • Maintain proper insurance coverage when required 
  • Comply with health and safety regulations 
  • Respect event schedules and operational procedures 

Prohibited Activities

Vendors and sponsors may not:

  • Sell illegal or counterfeit products 
  • Engage in discriminatory or offensive conduct 
  • Misrepresent GIVE BACK HAITI’s mission 
  • Conduct unauthorized political or religious campaigning during events 

Sponsorship Standards

Sponsors must align with the values and mission of GIVE BACK HAITI.

The organization reserves the right to reject sponsorships from entities associated with:

  • Illegal activities 
  • Fraudulent business practices 
  • Hate speech or discrimination 
  • Activities damaging to the organization’s reputation 

Sponsorship Recognition

Sponsor benefits may include:

  • Logo placement 
  • Public acknowledgments 
  • Event booth space 
  • Website recognition 
  • Promotional opportunities as approved by the organization 

 

4. Social Media Usage Guidelines

Official Communication

Only authorized representatives may speak officially on behalf of GIVE BACK HAITI through social media platforms.

Appropriate Conduct

All individuals representing the organization must:

  • Communicate respectfully and professionally 
  • Avoid offensive, misleading, or defamatory content 
  • Respect cultural diversity and community values 
  • Protect confidential information 

Use of Photos and Videos

By participating in GIVE BACK HAITI events, attendees may consent to the use of:

  • Photographs 
  • Video recordings 
  • Interviews 
  • Testimonials
    for promotional, educational, and fundraising purposes. 

Prohibited Social Media Activities

  • Posting false or misleading information 
  • Harassment or personal attacks 
  • Unauthorized fundraising campaigns 
  • Political endorsements without authorization 
  • Misuse of the organization’s logo or identity 

Monitoring and Enforcement

GIVE BACK HAITI reserves the right to request removal of inappropriate content associated with the organization.

5. Volunteer Code of Conduct

All volunteers are expected to uphold the values, integrity, and mission of GIVE BACK HAITI.

Volunteer Responsibilities

Volunteers agree to:

  • Conduct themselves professionally and respectfully 
  • Follow instructions from event coordinators and leadership 
  • Treat all participants fairly and equally 
  • Protect confidential information 
  • Support a safe and welcoming environment 

 

Prohibited Conduct

Volunteers may not:

  • Engage in harassment, violence, or discrimination 
  • Use drugs or alcohol during volunteer service 
  • Misuse organizational funds or property 
  • Make unauthorized commitments on behalf of the organization 
  • Engage in illegal activities 

Attendance and Reliability

Volunteers are expected to:

  • Arrive on time 
  • Notify supervisors of absences 
  • Fulfill assigned responsibilities responsibly 

Safety Compliance

Volunteers must follow all safety procedures established for events and activities.

Disciplinary Action

Failure to comply with this Code of Conduct may result in:

  • Verbal warning 
  • Removal from an event 
  • Suspension of volunteer privileges 
  • Permanent dismissal from participation
